The type of personal information we collect

We currently collect and process the following information:

● Parental name, contact phone number and email address

● Child’s name and the school they attend

● Parental address (in the event of a delivery being necessary)

● Volunteers name, contact phone number and email address

● Donors name and email address

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for the

following reasons:

● To enable us to distribute food hampers*

● To maintain our financial accounts and records (including the

processing of gift aid)

● To provide news and information about events, activities and services

of the charity

● To fundraise and promote the interests of DFS

● To manage volunteers

*We may share this information with a child’s school should it be deemed necessary

or appropriate.

 

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on

for processing this information is:

● Your consent. You are able to remove your consent at any time. You can do this

by contacting us: dorchesterfs@gmail.com

 

How we store your personal information

Contact information for parents and pupils is securely stored on a spreadsheet on

our Google Drive. We keep these details for 6 months after which we dispose of this

information by deleting it.

Contact information for volunteers is kept on a password protected Microsoft Word

programme. We delete all personal information from our files if we have not had any

contact with you in 3 years.

Contact information for donors is stored on a password protected Excel spreadsheet.

The information is reviewed every 12 months and removed when no longer required.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal

information.

Your right to rectification - You have the right to ask us to rectify personal

information you think is inaccurate. You also have the right to ask us to complete

information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal

information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict

the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the

processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the

personal information you gave us to another organisation, or to you, in certain

circumstances.

You are not required to pay any charge for exercising your rights. If you make a

request, we have one month to respond to you.
